Guidelines for Submission of FY2018 Support Materials


All support materials (for exceptions, see below) must be uploaded to the Pre-Submission Upload menu of the Grants Gateway Grant Opportunity Portal application.

PLEASE NOTE: Each upload window on Grants Gateway accepts only one file. Uploading multiple files will delete the previously uploaded file.  Please combine multi-page support materials into a single file.

Each NYSCA Program and funding category has different support material requirements. Please review category guidelines carefully and completely. Guidelines are available here.

In the event that an applicant fails to submit one or more of the required materials, the application will not be eligible for review.


Instructions for Electronic Submission of FY2018 Support Materials

  1. Support materials will be uploaded directly to the Grants Gateway Grant Opportunity Portal application through the Pre-Submission Upload menu

    1. Please upload support materials one at a time, saving the screen after each upload. This will ensure the system functions properly.

    2. PLEASE NOTE: Each upload window on Grants Gateway each accepts only one file. Uploading multiple files will delete the previously uploaded file. Please combine multi-page support materials into a single file.

  2. Audio and video files cannot be directly uploaded to Grants Gateway application. To share an audio or video clip you must provide a URL (aka website address) to the segment hosted on your website or another platform including YouTube, SoundCloud, Vimeo, etc. For information on the maximum length allowed for an audio or video clip please review Program Guidelines.

  3. To submit URLs (including audio/video clips, social media profiles and other relevant online content) please create a Word or PDF file with a list of URLs and any notes or descriptions. Each link should begin with http:// and lead directly to the material referenced and demonstrate your work in an accessible and engaging way.

  4. URLs cannot be password protected and must remain live until December 31, 2017. NYSCA is not responsible for any broken, inactive or password protected links.

  5. Accepted File Types: Adobe Acrobat PDFs, Microsoft Word DOC or DOCX, Microsoft Excel XLSX or XLS, Microsoft PowerPoint PPT or PPTX.

  6. Files cannot be larger than 10MBs.


Exceptions

The following four programs contain categories that require applicants to submit certain support materials in hard copy.

  1. Literature Program
  2. Presenting Program
  3. State and Local Partnerships

Hard-copy support material submissions must be received in NYSCA’s office no later than the application deadline. Hard-copy support materials will not be returned, therefore please do not send the only copy of any material. NYSCA’s address for submission of these materials is:

Applicants must read Program Category Guidelines for Support Materials in each of the above Programs to determine which materials must be submitted electronically and which must be submitted in hard copy.

Hard copy Support Materials must be submitted to the Council only in the following printed formats: books, magazines, construction documents, blueprints and brochures.

Hard copy Support Materials will not be returned. Please do not submit your only copy of any Support Material.
